Job Summary
The Executive Assistant handles a wide range of administrative and executive support related tasks and must be able to work independently. Works closely with executives and other internal and external sources to provide administrative support for an executive.
Job Duties & Responsibilities
- Providing administrative support to executives and assisting in daily office needs
- Managing executive schedules, appointments, and travel arrangements
- Handling confidential information with discretion
- Coordinating executive communication, including taking calls, responding to emails, and interfacing with clients
- Preparing reports, presentations, and data analysis for executives
- Organizing and maintaining executive files and records
- Assisting in organizing meetings and events, including preparing agendas and taking minutes
- Collaborating with other administrative staff to ensure smooth operations within the office
- Conducting research on various topics as needed
- Performing other duties as assigned to support executive team and overall business operations
Job Specific Skills
- Advanced knowledge of administrative and clerical procedures and systems such as managing files and records, data entry, set up functions, process information and other office procedures and terminology
- Advanced knowledge of principles and processes for providing customer and personal service. Includes executive and customer needs assessment and meeting quality standards for services
- Advanced ability to communicate with people outside the organization, representing the organization to clients, the public, government, and other external sources. This information may be exchanged in person, in writing, or by telephone or e-mail
- Detail oriented and highly organized
- Ability to demonstrates accuracy and thoroughness and monitors own work to ensure quality
- Excellent calendar management skills, including the coordination of complex executive meetings
- Experience in the oil and gas industry
- Experience in gas marketing and trading, preferred
Education
Minimum: High school diploma
Experience
Minimum: 5 - 8 years related work experience
